# What a Warranty Service Dispatch Should Include: A Template for Window and Door Manufacturers

A complete warranty service dispatch lets the service provider reach the homeowner, send the right contractor and schedule around the parts on the first try. It should carry the homeowner’s name and contact details, the service address, the scheduling contact, the manufacturer’s reference number, the work description with any part specifications, the parts order with its ETA and ship-to location, and known jobsite details such as elevation, residence type and access restrictions.

## The Short Answer

A warranty service dispatch is the hand-off from the manufacturer, which has validated the claim, to whoever goes to the home. It needs to answer five questions without a follow-up call: who to contact, where to go, what the claim is, what parts are coming and when, and what the site is like. The template below is the set of fields UTS ServicePros works from on every manufacturer dispatch.

## The Template

Homeowner: name, phone number and email address. This is who the contractor contacts first, within 3 to 4 business days of the dispatch.

Service address: the full address of the property where the product is installed.

Scheduling contact: the person who agrees the appointment, if it is not the homeowner. For example, a tenant or property manager.

Manufacturer reference number: your claim or service order number. It ties the visit, the photographs and the completion report back to your own system.

Product: the product type (door or window), the product line, and the size or unit identification where you have it.

Work description: what the homeowner reported and what you are authorizing, either an inspection or a defined repair, with any part specifications.

Parts order: what is being sent, with size and quantity. For glass, the glass size and quantity and the glass order details.

Parts ETA and ship-to: when the parts are expected and where they are shipping, to the home, a dealer or the contractor.

Jobsite details: anything known about the site, such as elevation, residence type and access restrictions.

## Why Each Field Matters

Contact details decide the first clock. UTS contractors must reach the homeowner within 3 to 4 business days of the work order and log every attempt. The repair is scheduled within 5 days of the parts ETA and completed within 10, and turnaround is measured from the point the request is complete and parts are accounted for. Without an ETA, the repair cannot be scheduled, and the delay looks like a service delay when it is a parts delay.

It is often the longest wait in the claim. ## What Comes Back
