# Choosing a Warranty Service Provider: Ten Questions for Window and Door Manufacturers

Before a window or door manufacturer hands its warranty field work to a third-party provider, it should know who will be in the homeowner’s house, under what contract, where the provider can and cannot reach, how fast it must act, what record comes back, and what the provider will not do. ## The Short Answer

A third-party warranty service provider puts someone in your customer’s home under your brand. Judge it on who does the work and under what contract, where it can actually reach, the time limits its contractors work to, the record you get back, who decides the remedy, and what it refuses to do. Ask for answers you can check.

## 1. Who does the work, and under what contract?

UTS ServicePros’ field work is done by independent contractors who run their own businesses and carry their own general liability and commercial auto insurance. Each signs an indemnity agreement naming UTS and the manufacturer.

## 2. How are contractors vetted, and how often is that repeated?

Before a contractor is active, UTS requires demonstrated door and window repair experience, a vehicle able to carry door units and large glass, and daily computer and internet access with a mobile device for field documentation. Background, insurance and licensing are re-verified every year, not only at onboarding.

## 3. Where do you cover, and what happens where you have nobody?

UTS’s standing service area is the lower 48 states and western Canada (British Columbia, Alberta, Saskatchewan and Manitoba). Where no contractor already works an area, a staff recruiter sources and vets one; travel can be batched with other manufacturers’ jobs to share its cost; and a genuine emergency can be dispatched immediately at higher cost. ## 4. How is a contractor chosen for a job?

Three factors: proximity to the address, the contractor’s performance record on prior jobs, and qualification for the specific product and failure type. Proximity alone is never enough.

## 5. What time limits do contractors work to?

Contact with the homeowner within 3 to 4 business days of the work order; an inspection scheduled within 7 days and submitted within 14; a repair scheduled within 5 days of the parts ETA and completed within 10. The manufacturer’s parts lead time sits outside those limits and is tracked separately.

## 6. What record do we get back, and who checks it?

The job cannot close without before and after photographs, diagnostic notes and the homeowner’s sign-off. A Territory Manager reviews the file before it closes, and the manufacturer receives a time-stamped PDF of the work performed, materials used and observations. ## 7. Who decides the remedy?

The manufacturer. UTS diagnoses, documents and performs what is approved. Contractors are prohibited from telling a homeowner that a unit will be replaced, because that commits the manufacturer to something it has not agreed.

## 8. Whose parts do you fit?

The manufacturer’s own, not aftermarket substitutes. Parts replaced must match the original complaint, and anything replaced beyond it is documented with before and after photographs.

## 9. What will you not do?
